Faculty Affairs department is an important division under the Deanship of Faculty & Personnel Affairs which is responsible to handle the following functions for all Saudi and foreign-contract faculty employed by the University.

Primary Functions

Receive new faculty and do all necessary official formalities such as, issuance of their ID cards, employment certificates, joining reports, placement on KFUPM payrolls, etc.
Process tuition fees and educational assistance grant for all eligible faculty dependent children of school-age, as per policy.
Process travel-ticket authorizations through Saudi Arabian Airlines for new faculties' initial travel to Dhahran from their points of origin, issue round trip repatriation tickets every year for all continuing faculty for their travel during summer vacation between Dhahran and their contractual points of origin, one-way final repatriation tickets for the leaving faculty, and process travel orders for all official business travels inside and outside the Kingdom.
 

 

Faculty Performance Evaluations

Faculty Performance Evaluations are annually reviewed by the Faculty Affairs Committee, which is one of the standing committees of the University, comprising of all academic deans and elected faculty members from each College, chaired by the Dean of Faculty & Personnel Affairs. The prime responsibility of this Committee is to conduct annual review of faculty evaluations with the sole objective to develop highly professional, stable, and competent faculty. The annual faculty evaluation is a continuous process through which the professional strengths and weaknesses of faculty are assessed in order to stimulate better performance and future improvement in their professionalism. The major components involved in the evaluation process are: teaching, research & scholarship, participation in the departmental committees and other activities. Regular meetings of the Faculty Affairs Committee are held each year for approximately 5-6 months during the first semester to finalize the evaluations and submit Committee deliberations to the Chief Executive Officer of the University for approval.

 

Advisory Services

Review, study and recommendation on salaries for new faculty offers.
Review, study of faculty requests for salary adjustments and presentation of reports and recommendations.
Preparation of Faculty Affairs Committee evaluation reports for faculty performance during each academic year, the committee minutes and proceedings, and recommendations for faculty contract renewals, salary increments/adjustments, termination of employment, etc.
Preparation of faculty evaluation rating letters based on the Faculty Affairs Committee reports on their performance.
Review and study of faculty eligibility for promotions
Review and study of faculty eligibility for sabbatical leaves
Processing of documentation on:
 
Faculty resignations, acknowledgments, final settlement of accounts, processing of final clearances, etc.
Faculty proceeding on authorized leaves of absence.
Faculty lateness for duty reporting, early departures for vacation, etc.
Faculty hired on special contracts for summer employment.
Study and process of faculty requests for payment of their termination benefits.
Advising on all contractual matters relating to current faculty, responses to their letters, and personal inquires, etc.

 

 

 

 

 

 

 

 

Recruitment Functions

Provide the University academic departments and research institute centers with required manpower based on their needs in view of increased students enrollment and leaving faculty and researchers.
Make announcements for open positions for faculty ranks in local and overseas media and also on the University's worldwide web site.
Process applications of the faculty applicants to the concerned departments for preliminary review and evaluation. Develop files of potential and interested candidates for further review and study.
Arrange personal interviews of the prospective candidates with the University recruiters at different locations worldwide.
Establish liaison with the University overseas recruiting offers and publishers on issues like faculty recruitment, placement of ads and settlement of invoices.
Make arrangements for visiting guests to deliver seminars, lectures, short courses, workshops, and symposiums in various departments of the University.
Update the computer database concerning personal, academic and professional background of the applicants. Also, update the database with regard to faculty ads and settlement of invoices. Generate computer listings, statistical reports and formats, etc., for daily official use.
University's publication "Partners in the Quest for Excellence" and departments' brochures are sent out to the interested applicants and the overseas recruiting agencies.

An updated detailed curriculum vitae
Copies of degrees and/or transcripts
List of publications (for professorial positions)
Recommendation letters including a letter from the present employer
Personal interview is also one of the prerequisites
Process employment offers to the selected and approved candidates informing briefly about the salary package, allowance and other benefits. Subsequently, employment contracts and letters of appointment are processed.
Answer inquiries raised by the candidates on various personal and professional issues prior to their joining.
Process entry visas for the accepted candidates (and their accompanying dependents, if any) upon receipt of their signed contracts. Communication on this subject is established with the concerned Saudi Arabian Cultural Missions and Saudi Arabian Embassies/Consulates abroad.
Process travel ticket authorizations (Pre-paid Ticket Advice) for the contractees and their accompanying dependents. Establish liaison with Saudi Arabian Airlines Ticketing/PTAs Office for confirmation of ticket numbers.
Process arrival (ETA) status of all newly appointment faculty and distribute to the concerned departments and Faculty Reception Committee to make reception arrangements from the airport and accommodate them in the assigned houses on the campus.
Process ID cards to the newly joined faculty members and process authorizations to keep them on the University payrolls.

 

 

 

 

 

 

 

 

Database

Data processing on information relating to currently employed faculty, such as, ratings of performance, changes in salaries, ranks, transfer of services, resignations, faculty on leaves, sabbatical, loans, scholarships, etc.
